Zimun can email each customer a reminder three days before their appointment. It is off until you turn it on, it is available on every plan, and it goes out on its own once it is enabled — there is nothing to send by hand.

The reminder is an email. Zimun does not send text messages: no SMS is sent to any customer on any plan today.

1. Turn the reminder on

Open Settings, then Organization, then Preferences, and switch on Auto reminder. It is off for every new organization, so nothing is sent until an owner or administrator turns it on.

There is no plan requirement. Auto reminder works the same on Free as on Advanced.

2. When it goes out

Once a day, Zimun looks for appointments that fall exactly three days ahead and emails a reminder for each one. Three days is counted in the time zone the appointment belongs to, so a customer booked at your Vienna location is measured against the Vienna date.

Because the run happens once a day, an appointment booked less than three days in advance does not get a reminder. The confirmation email it already received is the only notice for that booking.

3. Who gets one, and who does not

A reminder goes out only when all of the following are true.

  • The appointment is still scheduled. Cancelled and completed appointments are skipped.
  • The customer has not already accepted the calendar invitation. Someone who accepted the invite in their own calendar has shown they know about the appointment, so Zimun does not email them again.
  • No reminder has been sent for that appointment yet. Each appointment gets at most one.

4. What the customer receives

A short email naming your organization, the service, and the date and time of the appointment, written in the language the booking was made in. It explains why it arrived: the calendar invitation has not been accepted yet.

If the appointment is a video appointment, the reminder carries the join link as well, so the customer does not have to find the original confirmation.

5. What it does not do

It does not replace the confirmation email, which goes out the moment a booking is made. The reminder is a second message, later, and only for customers who have not acknowledged the appointment.

It does not send a text message. An SMS option exists in the product on the Pro and Advanced plans, and it is hidden entirely on Free — but nothing is delivered through it on any plan, because the channel is switched off.

6. Summary

  • Settings, then Organization, then Preferences, then Auto reminder. Off by default, on every plan.
  • One email, three days before, counted in the time zone of the appointment.
  • Only for appointments that are still scheduled and not yet accepted in the calendar.
  • One reminder per appointment.
  • Email only. No SMS is sent today.
