Your people and your bookable assets are the backbone of your business. Zimun keeps them organized so bookings stay smooth.

This guide explains how staff and resources work together to keep availability accurate and prevent conflicts.

1. Managing staff

Add each team member with their name, short bio or notes, and invite email. They sign in with Google to accept the invitation.

Once accepted, they appear in your Team section and can manage their own schedule.

2. Defining working days

Set active days and time ranges per team member. Zimun only offers slots when their schedule says they are available.

If someone is away, update their availability or add an override so customers do not see those slots.

3. Assigning services

Choose which services each person performs. If they are not assigned, the slot never appears to customers — that prevents mismatched bookings before they happen.

This is how you make sure the right specialist is always matched to the right appointment.

4. Keep assignments location-aware

Team members belong to one location, and resources belong to one location. Service coverage only works when those assignments line up at the same place.

If a service is assigned to a location but no matching team member works there, or the required resource belongs elsewhere, the slot stays unavailable.

5. Managing resources

Add shared items — rooms, chairs, devices, studios — and link them to services. Zimun blocks overlapping requests automatically, just like with staff.

If a service requires a specific room or piece of equipment, link it here so the booking page never double-books it.

If a customer is renting the resource itself rather than a service the staff delivers, share a resource booking link instead so the customer picks the start and end. See Resource Booking.

Usage example

  • Add "Treatment Room 1" and "Treatment Room 2" as resources.
  • Assign both rooms to your massage service so no more than two bookings appear at once.
  • Assign each therapist to the services they can perform so only valid slots show up.

Roles and access

  • Owners: full control of settings, services, resources, invitations, billing, and ownership
  • Administrators: edit organization settings, services, resources, and invitations
  • Members: their own schedule, availability, and profile only (Team section)

Owners and administrators can step in to edit a member’s schedule if needed.

6. Example

At "Well & Fit Studio", three trainers share two rooms. Zimun ensures only two sessions can exist at any one time — no manual checks required.

That means the front desk no longer has to juggle room calendars manually.
